SCOPE OF WORK
To Perform a Requirements Analysis to implement Advologix Case Management Software:
A. Provide analysis of the Legal Division Case Management requirements to implement Advologix.
a. This phase will be critical to the success of the overall implementation in phase 2.
b. Provide a thorough understanding of the organization's processes, workflow, document production, time tracking and reporting needs.
c. Provide best practices information to best configure Advologix to meet the organization's specific needs.
B. The analysis will include all of the following deliverables
a. Preparation of questions to get answered during remote meetings with the various legal staff members.
b. A thorough discussion and review of the ICA "intake " process and the intake questionnaires (if any) currently in use, discuss options for handling incoming legal requests in Advologix, discuss options for the point at which matters should be created
c. Review and discuss online forms, and discuss the options for bringing these directly into Advologix and any workflows that should be triggered
d. Conduct a walkthrough of the Questionnaire Creator application to show how it might fit into the intake process, how it can be used after intake and in case management, provide options and create the desired Questionnaires and which are absolutely necessary for the new system
e. A thorough discussion and review with members of the Legal team of the current workflow and how it should be implemented in Advologix; gather all work product resulting from these processes
f. A thorough discussion and review with members of the Compliance team of the current workflow and how it should be implemented in Advologix; gather all work product resulting from these processes
g. A thorough discussion and review with members of the Collections team of the current workflow and how it should be implemented in Advologix; gather all work product resulting from these processes
h. Conduct a walkthrough of all Salesforce Chatter related features to determine how the organization will use it for internal communication and collaboration, and whether to use it for external communication and collaboration features
i. A discussion with Collections around time tracking needs
j. A detailed review of document production needs to determine which can be templates in Advologix, discuss document assembly tool options
k. A review of current document storage repository, discuss potential options going forward with Advologix
l. Review existing reports and/or Excel worksheets used for tracking of anything case related, discuss needs for additional reporting with management
m. Documentation of all processes as design specifications to be used in phase 2 to build the required solutions, including a final review by ICA
n. Prepare a detailed scope-of-work/engagement document for the full implementation of Advologix and review with management
o. Project management
C. The major assumptions, dependencies and limitations for this bid are:
a. Industrial Commission of Arizona will make this project a high priority and will provide adequate time for meeting and other assignments required for the on time completion of this project.
