JOB DESCRIPTION:
The role of the Project Manager is to plan, execute, and finalize projects according to strict deadlines and within budget. This includes working with and coordinating the efforts of team members across the organization and third-party vendors in order to deliver projects according to plan. The Project Manager will also define the project's objectives and oversee quality control throughout its life cycle. This position will require to work with vendors to deliver seamless execution of projects for our business and own the detailed project plans, which provide clear and transparent progress of projects to plan, and specify critical path activity. Candidate will track changes to project scope, project schedule, and project costs using industry recognized project management techniques.
Candidate will ensure that the appropriate relationships are set up and maintained between the internal/external teams and the project teams, to enable them to undertake their roles effectively.
As Project Manager you will ensure adherence to project risk and compliance activities, which include (but are not limited to):
Strategy & Planning
      • Define project scope, goals and deliverables that support business goals in collaboration with senior management and stakeholders.
      • Effectively communicate project expectations to team members and stakeholders in a timely and clear fashion.
      • Liaise with project stakeholders on an ongoing basis.
      • Set and continually manage project expectations with team members and other stakeholders.
      • Plan and schedule project timelines and milestones using appropriate tools.
      • Track project milestones and deliverables.
      • Determine the frequency and content of status reports from the project team, analyze results, and troubleshoot problem areas.
      • Define project success criteria and disseminate them to involved parties throughout project life cycle.
      • Conduct project post mortems, project documentation turn over and create a recommendations report in order to identify successful and unsuccessful project elements.
      • Develop best practices and tools for project execution and management.
      • Ownership and ensuring accuracy of project RAID logs, reviewing risks, assumptions, issues, dependencies regularly to minimize potential impact to project delivery.
Deployment
      • Estimate the resources and participants needed to achieve project goals.
      • Draft and submit budget proposals, and recommend subsequent budget changes where necessary.
      • Where required, negotiate with other department managers for the acquisition of required personnel from within the company.
      • Determine and assess need for additional staff and/or consultants and make the appropriate recruitments if necessary during project cycle.
Operational Management
      • Direct and manage project development from beginning to end.
      • Develop full-scale project plans and associated communications documents.
      • Delegate tasks and responsibilities to appropriate personnel.
      • Identify and resolve issues and conflicts within the project team.
      • Identify and manage project dependencies and critical path.
      • Develop and deliver progress reports, proposals, requirements documentation, and presentations.
      • Proactively manage changes in project scope, identify potential crises, and devise contingency plans.
      • Coach, mentor, motivate and supervise project team members and contractors, and influence them to take positive action and accountability for their assigned work.
      • Build, develop, and grow any business relationships vital to the success of the project.
ESSENTIAL FUNCTIONS:
To perform this job successfully an individual must be able to perform each essential function satisfactorily.
    • Responsible for all facets of project delivery, from proposal writing, through planning, budgeting, implementation, evaluation and report writing.
    • Ability to work as a member of a team. The ability to listen, summarise and draw conclusions from discussions. The ability to chair meetings of senior business representatives and/or IT contacts, ensuring objectives are defined and met.
    • Ensure resource availability and allocation.
    • Establish and maintain all project documentation in an appropriate and accountable manner according to established standards.
    • Ensure consistency, quality, accountability and high standards in all projects. This includes developing procedures, models and comprehensive frameworks of delivery.
    • Maintain appropriate fiscal controls to ensure all projects are within the scope of the allocated budget.
    • Maintain accurate and complete statistical records for your projects, providing the Director IT Program Management with comprehensive details on project activity.
    • Ensure consistent and meaningful evaluation of your projects are carried out, in order to assess their impact and success, and to own changes and improvements as identified.
    • Responsible for hiring, orientation and ongoing supervision of all direct reports.
    • Conduct regular performance appraisals with team members, providing constructive feedback and direction as to improvement.
    • Proactively advise the Director Program Management about you project's progress, recent successes and any items requiring escalation (as documented in the RAID log).
    • Actively participate in program management team meetings, attending meetings regularly and bringing forward your project successes and issues for discussion/decision.

QUALIFICATIONS:
Essential Experience
    • Demonstrable evidence of leading and delivering projects to time, cost and quality.
    • Ability to manage projects, with evidence of prioritization, planning, financial management, task ownership and task delegation.
    • This position requires a B.A./ B.S. in computer science, business administration or other relevant field and 3-5+ years of experience in Information Technology Service Delivery Management
    • Mature understanding (3+ years) of IT Service and Delivery Management with a proven track record of delivering results and introducing key ITIL disciplines and practical project management techniques to programs.
    • Experience in building and developing a high performance team.
    • Proficient in the use of the MS Office suite (MS Project experience preferred).
    • Strong organizational skills including attention to detail and multi-tasking skills.
    • A capacity to work collaboratively.
    • Excellent client-facing and internal communication skills.
    • Capable of working with diverse populations.
    • Passionate about client service and seeing quality IT solutions in place in for our business.
    • Ability to remain calm under pressure, respond quickly to issues and effectively managing a variety of competing activities and priorities. Handles conflicts as they arise in an open, neutral and objective fashion, negotiating towards agreed solutions and escalating appropriately.
Preferred Experience
    • Experience of the bio-pharma industry and ERP
    • PMP / PRINCE II / DEV Ops certifications are a plus.
    • Awareness of regulatory compliance and role of systems in supporting compliance
    • Strong verbal and written communication skills are essential.
