Contractor Care Assistant/Office Administrator

Location: Irvine, California
 Provide service and support to new employees and contractors in the Irvine CA branch location to encourage quick integration to their assigned role.  Maintain consistent contact to foster a strong relationship between the company and contractor while insuring compliance in the HR function. 
***Reports to Contractor Care Manager
  1. Enters any on boarding to any contractor assigned to the Irvine CA branch in a timely manner
  2. Serve as first point of contact to Contractor/Contractor Care Manager in the following areas:
    1. Contracts are created for newly hired contractors assigned to the Irvine CA branch  and onboarding email is sent within 24 hours of receiving the start
    2. New hire paperwork is collected for contractors assigned to the Irvine CA branch and uploaded in JobDiva within 72 hours of start
      1. Missing documents report is run weekly for newly hired contractors assigned to the Irvine CA branch and followed up with contractors, recruiters, and sales
    3. Orientation/on-boarding is scheduled and conducted for local contractors assigned to the Irvine CA branch  at least 24 hours prior to start date
  3. Drug, credit and background check authorization forms are sent to applicable candidates, as needed, and put into appropriate vendor system within 24 hours of receipt of the completed form
  4. Reviews background and drug screen requests in process daily
  5. Notifies AEs and Recruiters of pending or completed backgrounds and drug screens
  6. Contractor timecard logins are sent to the candidates assigned to the Irvine CA branch  the Monday within their start week
  7. Addresses any timecard issues and resolutions for all contractors assigned to the Irvine CA branch  
  8. Assists with the "Care” Program as directed by Manager
  9. Backup for formatting resumes and phone coverage for the entire organization
  10. Support for client audits when needed
***Reports to Director of CA Operations
  1. On-site visitors are welcomed, nature of business is determined and visitors are announced to appropriate personnel. 
  2. Resume formatting is completed for the Irvine CA branch  
    1. Expectation: at least 5 an hour; if up to an hour behind, HR Manager is notified of potential back up if necessary; any resumes submitted by 4:30pm will be completed same day
  3. Manages incoming and outgoing mail including overnight shipping; ensures proper internal distribution for the Irvine CA branch  
  4. Coordination of all catered meals and applicable events and meeting scheduling for the Irvine CA branch  
  5. Verifications of Employment for the CA office (or applicable standard HR forms):  Assist Human Resources Director with the completion of verification documents - including verbal verifications, written requests for standard state forms, wage verifications, etc.
  6. Assist others as needed and directed by Director of CA Operations
