Primarily responsible for providing budget planning, tracking and reconciliation support. Serves as the expert on developing/maintaining the Excel tracking sheets to support manual tracking and reconciliation of a multi-year, multi-project, multi release budget. Lead budget planning and reforecast activities providing relevant templates for use by budget contributors. Track action item dates and provide follow-up to meet established deadlines. Work with FICOH and TMNAS financial departments to resolve reconciliation issues, establish project grouping categories and support year- end accrual processing. Provide Sponsor level budget reports.
Provide support for contracting and procurement functions. This may include submitting contract requests for processing, facilitating invoice approvals following established processes, storing contract documents and validating invoices against the contract.
Provide resource planning and variance reporting support. Responsible for the distribution and consolidation of the program resource planner for multi- releases and multiple projects.
Maintain the excel format, ensuring the naming conventions are consistent.
Create pivot tables and graphs to support business and IT resource discussions
As needed, facilitate resource planning overviews and reviews.
Track delivery dates and provide follow-up to ensure resource planner is finalized by established deadlines.
Send reminders to team members to update the time tracker.
Provide project team onboarding activities by submitting badge and system access requests, updating SharePoint rosters and permissions, and provide oversight of vendor submitted requests.
Create preliminary communication and/or documentation in support of project approvals, communication to the project team members, and program presentations, etc. Document "how to " and process documentation for PMO and Project Management activities.
Consolidate project status reports into a consolidated format and review for alignment with formatting and status color indicator definitions.
Send reminders as required to ensure all project status reports arc posted in a timely manner.
Provide miscellaneous administrative activities to support the Project Managers and AVP such as scheduling meetings and establishing meeting logistics, capturing minutes, action items and decisions.
Provide support for providing audit information.
Qualifications Required: (Knowledge, skills or special requirements)
1. Two to Three years' experience supporting Project managers and Program activities for a large program (Project Coordinator/Analyst).
2. Advanced Excel based budget tracking and reconciliation.
3. Proficient skills in Excel to include the creation and use of pivot tables and graphs
4. Detail oriented to ensure the integrity and quality of information provided for decision making and reporting.
5. Strong organizational and time management skills to effectively manage competing work activities.
6. Solid MS Word, MS PowerPoint, MS Visio and Outlook skills to effectively schedule meetings and document information.
7. Solid communication skills both verbal and written 8. Bookkeeping/Accounting Knowledge
