  • Works under general supervision and most frequently on own initiative performing tasks independently.
  • Admin support for an office of 15 answering and routing phones, incoming and outgoing mail.
  • Greet internal and external clients at the door.
  • Set up the weekly Monday Morning Meeting via webcast, interfacing with internal departments.
  • On-site contact for property management, local vendors like plant service, snack/drink supply orders etc.
  • Greet and direct clients and guests.
  • Work with building security for coordination of security access to the Clients suite.
  • Booking conference rooms, additional projects and duties as assigned with focus on providing a high level of proactive and professional customer service support at the front desk, effectively representing Clients.
  • The reception desk hours are typically 8am-5pm, with assigned work hours, breaks/lunch periods.
  • As an entry level position, works with Technical Communications group to take on various responsibilities as needed.
  • Ordering: kitchen supplies, office supplies, business cards, UPS supplies, postage
  • Proficient in Outlook, Excel, Word
  • Mail/deliveries- incoming and outgoing (UPS, Courier, FedEx, etc.),
  • Distribute mail to team daily Scan/copy documents as necessary
  • Be able to work independently and have good judgment
  • Can multi-task
  • Pay attention to details is technically savvy
  • Can interact with people at all levels of the organization
  • Open office in morning at 8 a.m.
  • Make coffee. Set out coffee cups, water glasses, creamers.
  • Answering the Main Phone Line / zero out calls Answer the Front Door.
  • Warmly welcome clients, advise their contact they are here (by cell phone if out of office), and provide water/coffee.
  • Contact appropriate headquarters departments for orders and EUC for service Manage and maintain all office equipment.
  • Coordinate with Building management HVAC, lights etc.
