Part time Administrative Assistant

PURPOSE: To provide clear communication, secretarial and administrative support to the business manager and pastoral team, as well as church boards, committees and congregation.

RESPONSIBILITIES: 1) Receive telephone calls and visitors 2) Keep church records: membership, record Book of Session, birth, baptism, death, marriage in official register 3) Maintain ongoing membership mailing list 4) Maintain church calendar and notify appropriate persons of building use (meetings, funerals, weddings, etc.) 5) Type letters and other materials as requested, (staff, programs, committees, etc.) 6) Prepare special bulletins/flyers/reports 7) Provide in a timely manner planning assistance to pastor and staff 8) Provide technical support for church computer system, suggest and implement new computer applications 10) Notify pastoral staff of any pastoral concerns/needs 11) Receive requests for lilies and poinsettias 12) Provide support during absence of Business Manager (illness/vacation) a) Assist with compiling income and deposit all contributions and other receipts b) Notify the proper people to provide funeral receptions c) Take calls for Retreat Center, reservations and key pick up 13) Prepare/maintain procedure log for position duties Weekly 1) Prepare worship bulletins (mail to those on mailing list) 2) Prepare building agenda 3) Update church web site, calendar and events Semi-Monthly 1) Turn in hours worked to Business Manager Monthly 1) Prepare and mail packets for Session, Deacons and committees as requested 2) Prepare/print church newsletter (Carillon) Place Carillon on Church Web Site E-mail Carillon to those who have requested it. Quarterly (or as needed) 1) Prepare and print current membership directory for staff Semi-Annual 1) Prepare and print current membership directory for members (Jan./June) Annual 1) Prepare certificate information for Elders, Trustees, Deacons being installed (Month?) 2) Prepare/ Prepare/print current basket delivery lists for Deacons (as requested) 3) Prepare/print current flower delivery lists for lilies and poinsettias 4) Prepare Annual Report QUALIFICATIONS: Associate Degree in Business or equivalent work experience One year of service in secretarial, computer and receptionist background. Keyboarding, and computer skills with proficiency in Microsoft Word and Desktop Publishing. Ability to implement computer applications and manage website. The ability to work with speed and accuracy under pressure of meeting deadlines. Must have the ability to communicate both orally and in writing. Oral communication must include that of being a compassionate, caring, and understanding listener and to maintain confidentiality
