Description:
  • Performs a variety of secretarial and administrative duties for assigned supervisor/manager or senior staff member.
  • Performs normal office functions such as setting up and maintaining alphabetical, numerical and/or subject files, interviewing callers and making proper referrals, arranging meetings and conferences and receiving, referring, or answering mail.
  • May take and transcribe dictation, uses personal computers and standard desktop software to compose reports, correspondence, and memorandums, reviews drafts and finished documents for appropriate grammatical usage, answers questions relating to office operations and established policies and procedures.
  • Seeking a demonstrated team player with a can do, positive attitude who coordinates effectively with other admins to ensure backup coverage as needed for all supported leaders.
  • Must demonstrate exceptional communication skills with all levels of employees and stakeholders.
  • Minimum 4-5 years of prior experience supporting executive level leaders required.
  • High school diploma or equivalent required with additional specialized training in specific aspects of job functions.
Mandatory:
  • Arranging business travel and preparing travel vouchers after completion of travel and reconciling charge card expenses, setting up complex meetings with virtual technology and dial in numbers as needed.
  • Keeping daily schedules for multiple leaders, de-conflicting meetings and rooms as needed.
  • Working with customers and other companies to include Vice President, Director and Program Manger level offices for key meetings and reviews.
  • Answering the phone, routing calls, interviewing callers and making proper referrals.
  • Arranging meetings and conferences including scheduling rooms.
  • Using computers and Microsoft Office programs to compile reports, correspondence, and memorandums.
  • Answering questions relating to office operations and established policies and procedures.
