Job Description:
The main responsibilities of the position include: Maintaining calendars by coordinating meeting requests and correspondence quickly and efficiently. · Arranging meetings and conferences. Providing prompt follow­up to last minute changes to meetings and logistics. · Managing telephone coverage for the Vice President and Directors. · Monitoring and managing the Corporate Communications email inbox. • Assisting with event planning and logistics • Arranging domestic and international travel and completing timely and accurate expense reports using designated Travel and Expense Reporting Systems • Preparing written correspondence. Supporting the timely and professional design and development of visually appealing reports and briefings. Reviewing final documents for appropriate grammatical usage. · Taking minutes during designated meetings and distributing this information in a timely, accurate and efficient manner. · Assisting with incoming / outgoing departmental mail and establishing and maintaining associated filing systems. · Answering questions relating to office operations and established policies and procedures. • Monitoring and reconciling department budget. · As required, performs other relevant administrative tasks and assignments for the department. · Serving as the AER administrator for time off requests and logging accurate time off information in the designated time keeping system. · Serve as back up to other administrative assistants in the Communications organization. The ideal candidate will be required to have extensive and recent experience providing efficient executive administrative assistant support in a fast paced organization. This position requires effective customer service skills, the ability to react and shift priorities quickly while remaining professional and efficient.

Mandatory Skills:
• Experience in travel booking and expense reconciliation • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, and SharePoint) • Demonstrated ability to manage multiple telephone lines • Effective organizational, multi-tasking and prioritization skills • Ability to work a flexible schedule on occasion in order to support Communications activities • Effective communication skills, both verbal and written • Ability to work in an administrative support team environment.
