FRONT OF HOUSE SUPERVISOR

Our client, a government company based in Abu Dhabi is looking forward to recruit Emirati Nationals for the position of Front of House Supervisor

Objective:
To ensure that the facility management department's procedure & process are practiced while handling complete service and contract administration.

Duties and Responsibilities:

Reception:
  • Ensure the reception area is always manned to provide the best customer service.
  • Ensure the Receptionists are enriched with the right skills and knowledge about the departments.
  • Coordinate with the drivers to collect the mails and couriers and ensure that they are distributed.
  • Ensure that all facilities are maintained in good working order including reception, boardrooms, meeting rooms. Notify the General services Team of any issues immediately.
  • Provide backup support as required.
  • Ensure team adheres to Dress Policy at all times
  • Maintain effective methods of work processes within the team and recommend process improvements where required.
  • Maintain the logbook register, coordinate holidays, leave and overload relief to ensure adequate coverage of Reception.
  • Assist in taking customer complaints and resolving problems.

    Catering Services:
    • Maintain good relation with the Canteen management and monitor their activities to ensure best service for the MI campus.
    • Check periodically the food menu, pricing, sales report and have a database of information regarding the same.
    • Coordinate with vendors to maintain the kitchen and related utensils.
    • Complaint management, inventory of provision within the canteen.
    • Ensuring that enough food supplies are available for the kitchen and manage a proper inventory and generate periodic reports.
    • Regularly monitor the kitchen to ensure they are having the best practicing for hygiene and food waste control.
    • Ensure the distribution of food and related provisions to various kitchens and ensure there is enough stock in each kitchen to meet the demand.
    • Monitor the store with kitchen and food supplies.

      Cleaning:
    • Monitor the cleaning contracts and its scope of work to ensure that they adhere to the terms of the contract.
    • Coordinate with the Cleaning supervisors / Focal point from the Cleaning Company to ensure that enough staffs are available fulfilling the daily tasks.
    • Ensure that the Vendor and their staff follow the safety guidelines of the Institute during the cleaning job and also ensure that they use safe equipments to avoid risk of accidents.
    • Seek regular report from the Vendor Focal Points and generate the performance report for yearly evaluation.
    • Monitor Key Performance Indicators and agree improvement plans within an agreed timescale where these fall below set standards.
    • Assuming responsibility for the soft service operations to ensure contract service compliance in accordance with effective service delivery.

      Office Assistance:
    • Ensure office assistants are constantly taking efforts in offering help and support and being proactive.
    • Responsible for prompt mail delivery by Office Assistants.
    • Regularly check printers and water dispensers and ensure that they are replenished accordingly.
    • Ensure tea boys in the office areas are regularly providing refreshments.

      External visitor accommodation:
    • Managing visitor allocations check in and check out process.
    • Make sure rooms are available and ready for visitors.
    • Coordinate payment process ensuring the correct information is forwarded to finance in order to either cross-charge or collect payment.
    • Act as the main contact for visitor requests and enquiries.
    • Provide information to visitors such as location maps, direction, shuttle bus schedules, daily and monthly rates, set up of villas etc.

      Student moves in accommodation:
    • Coordinate with SAO office ensuring accurate information is given concerning new/existing student allocation.
    • Make sure rooms are available and ready for Students.
    • Coordinate payment process ensuring the correct information is forwarded to finance in order to either cross-charge or collect payment.
    • Make sure room/apartment is available and ready to move in.
    • Coordinate the move process ensuring all items/students get in with no delay or confusion.
    • Assist with the move process ensuring carrying out required further actions.

      Outdoor & Indoor Plants
    • Ensure all leased and owned plants are placed in key areas.
    • Monitor contractor ensuring plants are fed and watered as required.
    • Keep and maintain an inventory indicating where all plants are placed.
    • Ensure the contractor replaces dead or near dead plants with new ones.

      Special projects
    • Focal point for food and beverages for various events.
    • Set process and guidelines to manage all type of requests.
    • Studying the requirement of the project and providing them required recommendations.
    • Assist the requester in providing the right product and services to ensure best service from General Service department as whole.
    • Handle various requests for purchase such as office furniture and any other needs.

      Personal Attributes:
    • Project management and Facility management skills.
    • Excellent interpersonal skills and quick decision making skills.
    • Should have excellent computer knowledge.
    • Should have excellent knowledge in MS Office Package.
    • Excellent communication skills in English, and Arabic is preferable.

      Minimum Requirements:
    • Graduate/Diploma in any field with majors in Business Administration,
    • Experience in vendor and contracts administration.
    • Should have minimum 3 to 5 years' experience in similar capacity.
