Purpose and Scope

To perform routine secretarial work in accomplishing the proper flow of documents and effective control of documents.

Responsibilities and Duties
  • Manage electronic and hard copy filing of project related technical documentation.
  • Distribute all correspondence including Client comments on submittals received must be accurate whom to address to avoid further delay.
  • Ensure all hard and electronic copy distribution of controlled documents to focal point and must be filed in the designated file folder
  • File and archive of documents to facilitate easy retrieval at a later date
  • Maintain registers for incoming and outgoing project documents
  • Type faxes, Letters, E-mails, Memos, Quotation, Works Order, Client, miscellaneous filing
  • Maintain / update jobs / Enquiry registers
  • Update database on a daily basis
  • Maintain & order office stationery keeping ample/stock levels

  • Recommend improvements to departmental policy and implement procedures and controls covering all areas of Operations function, so that all relevant procedures/legislative requirements are fulfilled while delivering quality, cost effective service to customers.
  • Ensure compliance to all relevant QHSE procedures and controls across Operations function to guarantee employee safety, health, legislative compliance, delivery of high quality products/service and a responsible environmental attitude.
  • Any other duties and responsibilities as assigned from time to time

    1. Academic Qualification and Professional Qualification
      • Graduate / Minimum High School Diploma
    2. Experience (minimum preferred)
  • 2-3 years relevant experience in documentation
  1. Technical Requirements
  • Good knowledge of MS Office
  • Skills in computer, fax, E-mail, Typewriter, Photocopier and other general business equipment
  1. Key Competencies
  • Ability to take instructions effectively
  • Communicate effectively both oral and written
  • Maintain positive relation with all staff members
  • Work under pressure / frequent interruption
