Office Manager

Heavy Industrial plant in Philadelphia is seeking an experienced office manager to manage and coordinate the day to day activities of the plant office. Will also be providing administrative support to the plant manager. The plant is located on North East Philadelphia and the hours are Monday – Friday, 8am to 5pm. Position offers competitive pay, benefits and a great working environment.
Requirements and Responsibilities
  • Serve as the principal point of administrative contact for both internal employees and external parties
  • Prepare and coordinate reports for Plant Manager Over site of the enterprise asset management (EAM) software platform designed to track operations, maintenance and facility assets
  • Responsible for maintaining employee records, vacation schedules, time-off, time sheets, employee benefits, etc.
  • Responsible for maintaining business sensitive and confidential files
  • Coordinates the disposition and/or resolution of individual problems and disputes involving staff, as they arrive
  • Responsible for overseeing the purchase of spare parts inventory, plant supplies and plant services
  • Process orders and payments for spare parts, plant supplies and plant services
  • Assist Maintenance Manager with spare parts inventory management

Required Skills
  • High diploma (minimum) some college or a two-year degree an advantage
  • 5-year's experience
  • Valid driver's license
  • Ability to make administrative and procedural decisions and judgments
  • Ability to plan, coordinate and execute multiple projects
  • Knowledge of office management principals and procedures
  • Proficient use with MS Office, to include Excel
  • Strong analytical skills
  • Excellent communications skills with ability to comprehend, speak and write using the English language
  • Skill in organizing resources and establishing priorities
  • Good time management skills to ensure assigned responsibilities are completed in an efficient manner
  • Good follow through ability: ability to adhere to work schedule and follows through on challenges as they arise
