MUST:
Experienced office manager/executive assistant
Must be a fluent user of Microsoft Office Suite, including Word, Excel, and PowerPoint

Five years' previous vendor management experience
Proven superb organizational skills, an eye for detail, a positive, team-oriented attitude, and proactive, resourceful approach to the workplace
Ability to multi-task, prioritize, and work efficiently with minimum direction or supervision
Excellent written and verbal communication skills, e.g., excellent grammar, spelling and proof reading skills
Ability to perform at high levels in a fast paced ever-changing work environment
Ability to demonstrate good, sound judgment
Willing to do what it takes to complete work assignments timely and accurately
Reliable transportation and clean driving record

DUTIES:
Oversee the seamless administration and operations of the corporate office and grounds, including monitoring and ensuring compliance with operating procedures and corporate calendar due dates
Track and maintain inventory of office equipment and supplies; ensure all office equipment is maintained; troubleshoot issues and ensure immediate resolution including copiers, phones, IT systems and vehicles
Negotiate new vendor contracts and manage existing contracts/partnerships for office supplies and services to ensure the highest quality of service at a competitive price
Supervise Cleaning Technician to ensure the physical office space and property meets the highest quality control standards for cleanliness and maintenance
Responsible for managing relationships with tenants on property, e.g., maintenance requests
Assist in the onboarding of new hires, including workspace and equipment assignment; train new HQ hires on office procedures
Perform administrative duties for the President and COO, including coordinating calendars, appointments, correspondence, and travel
Manage the production of quarterly Company newsletter
Responsible for meeting and event management, including taking and disseminating minutes
Assist HR, Sales, Accounting, and Operations with administrative support as needed, including coverage of the phones and reception
Any other duties as required
