Howard Systems seeks an Executive Assistant professional for a temp to perm in the Boston, MA area.
  • Our client is conducting a confidential for an Executive Assistant to support our C-Suite. Our ideal candidate will be able to multi task while responsible for arranging and scheduling meetings for the C-suite, scheduling and managing domestic and international travel, submitting expense reports, office management (shared responsibilities) and supporting other senior operations leaders as needed. Must be a strong communicator.
    The essential duties and responsibilities include:
    • Provide administrative support to the C-suite and senior operations leaders, including scheduling meetings, coordinating calendars, and arranging travel(Concur)
    • Answering multi-line phone and ensuring messages are delivered for teams supported
    • Provide support and assistance in the preparation of general correspondence, presentations, and reports
    • Perform general office management duties, such as ordering supplies and keeping shared spaces in good working order (conference rooms, pantries, reception).
    • Manage invoices, reports, memos, letters, financial statements and/or other documents, using Microsoft Suite software
    • Coordinate visitors to office (including other staff, consultants, and auditors.)
    • Arrange catering and AV requirements for major meetings (may include external or internal parties)
    • Process invoices for payment; research and resolve issues/problems with payments
    • Maintain relationships with building management, technology support team, and other external support organizations / vendors
    • Manage office facilities to include moves and changes including but not limited to: visitor management, contractor management and basic business continuity response. May also work with building management and vendors to resolve any day to day issues
    • Share responsibilities with mail and package delivery
    • Assisting with special projects and performing other duties and functions as requested
  • Requirements:
    • Associate's degree or equivalent education and experience. Bachelor's degree preferred
    • Minimum eight years' experience supporting one or more senior leaders and their teams
    • Strongly prefer insurance industry experience
    • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint); strong Microsoft Outlook skills Excellent communication and interpersonal skills Ability to multi-task and handle multiple responsibilities
    • Motivation to work in a team oriented and fast-paced environment
    • Ability to work well with a group of other admins, including the ability to develop new processes and approaches as needed to support the office
