Role Description:
The Lincoln facilities assistant will be the face of the office and responsible for first impressions. Assigned tasks list to include, but not limited to managing and responding to supply requests including FedEx supplies, maintain inventory on office supplies, and perform light building maintenance on a daily basis (e.g., set up and organize rooms, printer maintenance, recycle or store all cardboard and excess packing materials, organize and deliver incoming mail).

Essential Job Functions and Responsibilities:
• 8 a.m. to 9 a.m. – check all conference rooms, huddle rooms and visitor offices, making sure all rooms are in order, chairs are placed appropriately, excess chairs and equipment removed and stored properly, equipment is in order (e.g. Power-on onsite televisions).
• Manage front desk to greet visitors, issue badges to employees, visitors and vendors
• Assist new hires by sanitizing and setting up office space
• Provide thorough campus tours to visitors and new hires
• Escort Shred-IT for secure document disposal on a weekly basis
• Track badges for new employees or terms for audits and payroll
• Coordinate onsite activities or meetings to ensure that the location is set up for the event and keep track of food deliveries for events and meetings
• Vendor invoicing – track PO spend – Client card statements submitted and completed
• Receive and send back IT assets for employees
• Reserve conference rooms and visitor offices if necessary
• Track moves and employee changes
• Manage and check vendors and repair technicians as needed
• Check breakrooms and resupply as needed
• Other administrative type duties as assigned

Skills and Qualifications:
• High school diploma or equivalent experience.
• Requires 1-2 years related experience
• Good knowledge of postal procedures and rates, including online shipping tools
• Ability to operate standard office equipment, including fax and copier
• Good oral and written communication skills
• Basic knowledge of PC desktop applications
• Ability to manage multiple projects and clients simultaneously
• Self-starter with demonstrated ability to partner effectively and seek out solutions to problems
• Strong interpersonal skills and team-first attitude
• Ability to climb, lift, bend and walk on a consistent basis.
