This position must be able to work independently in a deadline-oriented environment and recommend process improvements to the Manager and Director of the department.

Essential Functions:

Relationship Development:
• Develop, build, and maintain relationships with people at all levels and regions (US and global) of the IEEE organization e.g. volunteers and co-sponsors in various societies as well as with a wide array of internal and external stakeholders
• Handles tasks and projects as assigned by management

Conference Organizer / OU Support Operational Support:
• Creates and reviews event budgets and financial projections for accuracy and reasonability
• Provides general business needs consultation and on-going coaching to conference organizers
• Performs portfolio-level financial assessments and analysis for sponsors/OU and suggests areas and strategies for improvement
• Develops and maintains relationships at the sponsor/OU-level, providing operational support and serving as a trusted partner in their pursuit of operational excellence
• Identifies, documents, and recommends areas of operational improvement

Financial Reporting:
• Monitors and assists in forecasting conference results at specific intervals throughout the life cycle of an event
• Validates, reviews, and audits financial reports to ensure accuracy and adherence to IEEE policy
• Guides and aids conference organizers in the usage of financial tools, including but not limited to bookkeeping, budgeting, and banking

Compliance Monitoring:
• Facilitates and monitor the submission/collection of supporting documentation to meet he needs to various audit requirements within IEEE
• Assists with facilitating the collection and input of financial data into IEEE databases

Transaction Processing:
• Facilitates incoming/outgoing payment requests from organizers and OU leadership
• Reviews all payment request submissions with respect to applicable laws, policies, and internal controls

Ad Hoc Reporting and Special Requests:
• Prepares periodic management reporting and analysis
• Works on ad-hoc financial reporting, projects, and analysis as requested by IEEE Staff/Volunteer leadership


Qualifications

Education and Experience:
• Bachelor's degree in Business Administration, Finance, Accounting, or related field of interest
• 5+ years relevant business experience

Skills & Other Requirements:
• Advanced portfolio-level awareness, understanding and support
• Excellent organizational and analytical skills and ability to manage several projects simultaneously
• Attention to detail and excellent communication and interpersonal skills are critical
• Ability to work independently with minimal supervision and many potential interruptions
• Ability to identify steps necessary to resolve problems as well as the ability to execute changes
• Must have a strong command of business English and be able to articulate program and transactional details with precision
• Must be a technologically savvy knowledge worker who seeks out new solutions to business challenges. Proficiency in computers & software, Excel, Word, Gmail, Databases, Oracle, Hyperion, NetSuite and Quick Books
• Must possess the ability to influence other to make appropriate business decisions (IEEE Policy, industry standards, budget, etc.)
• Must have strong collaboration skills as this position requires frequent interaction with cross-functional, solution-oriented teams
• Previous experience with process development, internal control evaluation, & process documentation a plus
