Administrative Assistant – Sales Support
                
SEARCH Group Partners, a premier recruiting firm, is looking for an experienced Administrative Assistant to support the Sales team for one of our clients located in Salt Lake City, UT.


Here are a few things you'll likely find yourself doing in this role...
 
  • This person will be primarily responsible for providing overall administrative support with sales and shipping while maintaining communication in a cooperative and professional manner with all levels of inside staff and outside contacts.
  • Helps schedule/track and organize meetings, agendas and calendars.
  • Establishes, develops, maintains and updates filing systems for Sales staff. Retrieves information from files when needed.
  • Maintains and continues to clean up databases regularly used and accessed for Licensed Users, Master Agencies and Sales Contacts which includes entering ESP/annual maintenance and CDE subscriptions.
  • Enters quotes and creates invoices in Salesforce, including management of quotes for US, Mexico and Canada clients.
  • Creates and updates internal Adobe forms and contracts as directed by Sales Director and/or Representatives.
  • Maintains trade show list for MarCom and Sales staff.  Completes predicted tradeshow usage every 6 months using tradeshow inventory, feedback and shipping requests for giveaways, swag, brochures, etc.
  • Creates reports for upcoming courses for Sales staff and licensed users upon request.
  • Organizes and prioritizes large volumes of information and calls. Responsible for answering Customer Service email, faxes and all info requests (i.e. ACN orders, online store orders, leads and iTransact).
  • Renews and maintains records and completes applications for state funding, as directed by Sales staff.
  • Sorts and distributes mail. Opens mail for the Sales and Office Support staff. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
  • Answers phones and assists visitors for Sales staff. Takes messages or fields/answers all routine and non-routine questions. Prioritizes requests and speedily disseminates information.
  • Acts as a liaison with other departments and outside agencies. Handles confidential and non-routine information and explains policies or trains when necessary.
  • Works independently and within a team on special nonrecurring and ongoing projects. Works on special projects, at the request of Sales staff, which may include: disseminating information, coordinating tradeshows, mass billing and cardset and software updates or mailings, etc.
  • Types and designs general correspondences, memos, excel spreadsheets, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Supports the department in maintenance of the department finances. Activities include: writing purchase orders, coding expenses to the appropriate accounts, completing expense reports, balancing and documenting corporate credit card expenses.
  • Coverage for Sales Representatives when they are traveling, attending tradeshows and conferences (including email and voicemail).
  • Miscellaneous duties as assigned.
 
Here's what you need to have...
 
  • SalesForce experience is a plus.
  • Work requires an extensive knowledge of business and an excellent command of the English language.
  • Must have knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through 3+ years related experience.
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software. Microsoft Word, Excel and Outlook are a must. The ability to learn new computer systems is required.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, diplomacy, dependability, and reliability.
  • Must have the ability to anticipate the needs of sales staff and assist them in prioritizing accordingly.
  • Strong analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
