Senior Administrative Assistant (Grade 23) -- Contractor
Specific Job Requirements
Administrative:
• Provide administrative and clerical support to Commercial Operations Administrative Team (COAT) an individual manager, department or group of managers;
• Provide administrative and clerical support to the department’s interview process: communication with Hiring Manager, interviewing panel and candidates to secure interview schedule, collecting assessment forms and making travel arrangements when required;
• Organize and schedule department meetings as well as assist in planning team, department events;
• Assist in onboarding contractors, new hires: ensure computer equipment, and all new hire materials are arranged for the person’s first day at Client;
• Track and verify data using a variety of software to conduct data entry and sorting of information;
• Create/assist in the creation of presentation materials and drafting technical documents as needed;
• Manipulate Excel spreadsheets into different sorts and formats and work with Word, Power Point documents as directed by immediate manager;
• Gather, collect, record, track and verify relatively complex data and information from multiple sources.
• Liaise with external agencies or organizations to coordinate activities which are important to the function of the department;

Sample Compliance:
• Initiate, investigate and document sampling program-related deviations;
• Work within Sales Operations function with cross-functional partnership with Quality Department;

Knowledge
• Good verbal, written, and interpersonal skills are required;
• Intermediate to Advanced knowledge and experience using a number of office software such as Excel, PowerPoint, Word, Access, etc.;
• Knowledge and understanding of administrative and office policies and procedures. Able to refer to specific and detailed procedures and instructions;
• Typically works under limited supervision and may receive general direction on new lines of work or special assignments;
• Detail-oriented;
• Problem solving skills;
• Good verbal and written communication skills;
• Ability to follow procedures;
• Good record keeping skills;
• Able to work with minimal direction once trained;

Specific Education and Experience Requirements
Requires a minimum of a high school diploma plus 2+ years administrative experience.
• 1-2 years’ experience in the pharmaceutical industry
• Experience with electronic database systems desired (Trackwise experience, preferred).
• Familiarity with GMP and/or PDMA, preferred
• A working knowledge of 21CFR210-211, preferred
• Deviation/investigation/root cause analysis experience, preferred
