Purpose:
Receive all Educational Grants and Promotional Sponsorships for the Professional Education & Development Group and ensure compliance.

Scope:
Administrator receives all educational grant and promotional sponsorship funding requests. Requests are reviewed and ensured to be within compliance with the Pharmaceutical Health Care Compliance Policy. Serve as liaison and coordinator for receipt and processing of funding requests from local, state, regional, national and international (when applicable) organizations.

Responsibilities:
Understand policies and guidelines. All funding requests must meet the following requirements:
• Pharmaceutical guidelines
• Federal and state laws
• Industry standards
• Sarbanes Oxley Act of 2002
• International laws and standards

Update funding request documents:
• Change or update to reflect new government laws and regulations
• Interact with Health Care Compliance Office and Healthcare Compliance
• Review all compliance updates with Compliance officers to ensure revisions reflect current policies
• Update and maintain funding request procedures, forms and checklists
• Update and maintain procedures, forms and checklists to ensure alignment with corporate and company policies
• Prioritize and process incoming correspondence and communications
• Monitor two dedicated mailboxes daily for receipt of funding requests or inquiries. Respond to all incoming correspondence as required and address inquiries regarding the application process and Health Care Compliance Policies
• Track document progress
• Handle difficult calls, track and document progress of each grant throughout the process
• Organize and expedite flow of funding request applications
• Organize and expedite process flow of all funding request applications through the necessary approval channels. Provide follow-up to ensure all funding requests are approved or declined
• Ensure final accounting statements are received (for educational grants only)
• All final accounting statements must be received and filed along with the original educational grant request for auditing purposes
• Participate in internal, external and corporate audits
• Participate and follow guidelines
• Provide accounting for the Professional Group/Medical Affairs grant budget
• Ensure that all directors are advised of expenditures and budgetary limitations on monthly metrics showing requests that are received/denied/approved/amount
• Liaisons with A/P
• Work with A/P to ensure check requests for approved grants have been paid
• Gathers, collates and/or compiles data
• Provide requested information to Directors regarding educational grants or promotional sponsorships
• Administer contracts for health care professionals
• Prepare contracts for doctors and process, including obtaining approvals, funding, account reconciliation, and communication with the doctor as needed


Qualifications:
• 1 or more years’ experience as a Contracts Administrator
• College degree
• Experience with legal terminology and review
• Excellent written and verbal communication and negotiation skills
• Expert user in Excel and pivot tables, dashboards/metrics
• Highly proficient in Windows 7, Microsoft programs e.g. Outlook, Word and Power Point
• Experience with Totality, Ariba and ARAVO a plus
• Team Player, energetic and professional ability to work with multiple customers
• Paralegal background helpful
• Experience in grant administration preferred
