Title: Event Planner I, Medical Affairs Operations (Grade 25) 


Specific Job Requirements 
§ Works under general supervision of the manager and with occasional review by more senior staff 
§ Participates in the organization and coordination of large departmental and inter-departmental meetings, including but not limited to advisory programs, pre- and post-conference teleconferences, Medical Scientist post-conference debriefs, and annual departmental meetings 
§ Prepares and distributes communications to employees as it relates to meetings or events. 
§ Provides post-event analysis, including event metrics 
§ Conducts site visits and evaluates vendor services and venues according to internal standards 
§ Works directly with internal stakeholders, staff, and external vendors to ensure logistical aspects of meetings meet expectations 
§ Budget responsibilities includes initiating purchase orders, check requests, and honorariums, tracking event budget, reconciling budget post event and reporting expenses per Legal requirements 
§ May interact directly with external advisors or their administrative assistant to coordinate travel 
§ May assist in the development of processes related to department activities 
§ May provide ad-hoc assistance to Medical Affairs Learning and Development 

Knowledge/Skills 
§ Must have strong experience in events management/planning and familiarity with service contracts and terms related to vendor contracts 
§ Must have strong project management skills 
§ Must have strong customer service skills 
§ Must have strong communication skills 
§ Must have strong proficiency in Microsoft Office applications. 
§ Must have good problem-solving skills 
§ Must have a good understanding of Gilead products and departmental policies. 
§ Must be able to work independently 

Specific Education and Experience Requirements 
Typically requires an BA degree and minimum 2 years of relevant experience in the pharmaceutical or event planning industry
