Administrative Assistant Quality Assurance
Summary / Objective
The Administrative Assistant is an entry level position supporting the Quality Assurance team. This position is responsible for auditing the accuracy and timeliness of onboarding documentation completion in accordance with contract and company language. This includes audits of all onboarding documentation, pre-employment requirements, and required emails to be sent out to candidates. Periodically review business processes in order to identify and recommend process improvements that increase efficiency and accuracy of the onboarding process. Take a lead role in working with management to ensure compliance and hiring regulations are followed.
 
Essential Functions
  • Performs audits of each field employee file prior to individual going to work to ensure compliance with company procedure and contract language
  • Review existing processes to identify inefficiencies in processing hires as well as potential weakness that may cause inaccurate processing
  • Provide internal compliance for all new hires and necessary paperwork
  • Review paperwork and onboarding materials processed by other team members
  • Validate that all paperwork is completed accurately in its entirety
  • Ensure that all documents are sent by the team
  • Follow up with necessary people to gather any missing information
  • Coordinate findings with directors to create training when needed
  • Assume lead role in assuring compliance and regulations are being followed
  • Audits I-9 files, verifies the documentation, and ensures compliance with regulations regarding I-9 Completion and E-Verify completion
  • Provide weekly reports to the Vice President on all people who are cleared and compliant.
  • Based on management's policies, complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
  • Updates job knowledge by participating in educational opportunities; reading professional publications.
  • Enhances Quality Assurance team and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

Required Education and Experience
High School or higher

Additional Eligibility Qualifications
  • Computer proficiency and technical aptitude with the ability to use Microsoft products
  • Ability to work under pressure and meet deadlines
  • Knowledge of all pertinent federal and state regulations, filing, compliance requirements both adopted and pending
  • Excellent communication and organization skills
  • Knowledge of I-9, E-Verify, and W-4
