Job Summary:
We are looking for a detail-oriented US HR Operations Specialist to manage and support HR processes for US-based employees and contractors.
The role requires strong knowledge of US employment types, compliance processes, onboarding, and HR systems, ensuring a seamless employee lifecycle experience.
The ideal candidate will:
- Managing end-to-end employee/consultant lifecycle: onboarding, extensions, transfers, offboarding
- Ensuring background checks, documentation, I-9/work authorization, NDA/MSA compliance (as applicable)
- Handling consultant grievances, escalations, attendance, leave, and engagement matters
- Coordinating with recruiters, account managers, payroll, and finance for smooth operations
- Monitoring contract end dates, renewals, and redeployment opportunities
- Maintaining employee records, and operational reports
- Supporting invoice validation through timesheet accuracy and billing coordination
- Driving consultant retention and reducing attrition through regular engagement
- Conducting periodic check-ins with placed consultants for performance feedback and client satisfaction
- Ensuring adherence to labor laws, company policies, and client compliance requirements
- Preparing reports on headcount, joins, exits, utilization, and payroll status -
- Immigration knowledge is Nice to have.
Key Responsibilities:
- Manage end-to-end onboarding and offboarding for US employees and contractors
- Handle different employment types including W2, C2C, and 1099 engagements
- Ensure completion and compliance of I-9 documentation and E-Verify processes
- Coordinate and track Background Verification (BGV) checks and drug screening (if applicable)
- Maintain accurate employee and contractor records in HR systems and ATS tools
- Work extensively on ATS platforms such as JobDiva and Ceipal (Cipal) for candidate and employee tracking
- Support documentation related to offer letters, contracts, amendments, and compliance forms
- Collaborate with payroll teams to ensure accurate processing for W2 employees and contractor payouts
- Handle employee queries related to onboarding, documentation, benefits, and policies
- Ensure compliance with US labor laws, IRS guidelines, and internal company policies
- Generate HR reports and maintain audit-ready documentation
Required Qualifications:
- Bachelor's degree in HR, Business Administration, or related field
- Experience in US HR Operations / US Staffing / HR Shared Services
- Strong understanding of:
- W2, C2C, 1099 employment types
- I-9 compliance and E-Verify process
- BGV (Background Verification) and onboarding workflows
- Hands-on experience with ATS tools like JobDiva and Ceipal
- Familiarity with US payroll basics and compliance requirements
- Excellent communication and stakeholder management skills
- High attention to detail and ability to handle confidential data
