Job Description: Administrative Assistant – Compliance

Location: 60 Wall

¿ Two years+ of administrative assistant experience in the Financial Industry
¿ College degree is preferred

This position will support several groups in NY Compliance Department, which include Managing Directors (MDs), Directors (Ds) and their respective team members.

Work Days: Monday - Friday (except for Bank Holidays)
Working Hours: (7.5 hours daily) 8:30 AM – 5:00 PM daily, with one hour lunch. Some flexibility to work overtime as required to support time sensitive requests or projects.

Primary responsibilities include
¿ Prepare PowerPoint presentations, Excel spreadsheets and Word documents as requested
¿ Calendar management and telephone coverage of the designated MDs and Directors
¿ Coordinate meeting bookings, which include conference room reservation, video conferencing, preparing and printing meeting materials, sending invitation to participants, etc.
¿ Book travel arrangement for domestic and international trips including airline reservations, hotel accommodations, car rental, creating meeting agenda and printing meeting materials
¿ Prepare and submit expense reports in the Concur T&E system on a timely basis in compliance with DB expense policy for the coverage groups
¿ Other administrative tasks include submitting facility and/or technology issues/requests, new hire setups for the coverage areas, greeting internal/external guests, etc.

¿ Excellent Computer skills including Excel, Word, PowerPoint and Outlook mail/calendar
¿ Knowledge of the Concur Travel & Expense system is a plus
¿ Quick learner and Team player

¿ Positive attitude, well-organized, ability to navigate a complex organization, multi-task and problem solve
¿ Excellent interpersonal, communication and writing skills
