Job Overview:
Manage and arrange Outlook calendar, contacts, conference bridges, appointments, luncheons and events, iProc submissions, and travel arrangements in accordance with department and company polices, and guidelines. Coordinate team meetings including team and large group meetings. Compile and manage timely submission of expense reports. Coordinate special projects and prepare presentation materials as needed. Maintain core business work hours with availability to work overtime. Work with outside vendors to plan team building events within budget limits. General support such as Sharepoint administration and Excel spreadsheet maintenance. Arrange complex domestic and international travel and prepare detailed itineraries. Work under minimal supervision and interact with company personnel at all organizational levels. Must maintain strict confidentiality on sensitive issues.
Minimum Qualifications:
Minimum Qualifications 1+ years supporting an executive or organization in Client (departmental/organizational policies and procedures, company products and programs) or another large engineering company. Candidates must have some tech company background and be able to demonstrate the ability to work with engineers. 1+ years processing travel plans, expense reports, and visas under tight deadlines. 2+ years experience with Outlook, Microsoft Word, Excel, PowerPoint, and SharePoint. Coordinate team and large group meetings with logistics a must. Excellent written and verbal communication skills. Ability to operate in a professional environment and follow department and company policies
Preferred Qualifications:
Experience compiling sensitive and timely information and/or reports. Previous Client executive or department administrative assistant experience
Education Requirements: Associates degree in Business Administration or equivalent preferred.
10/12 - NEW REQ - Resource will be supporting a Senior Director and Senior Manager of the IT Asset Management group. Seeking a polished candidate who has scheduling experience and professional communication style. 1 year contract with the potential for conversion down the road. Hiring manager will begin reviewing resumes next week and setting up first round interviews for the week of 10/22.
