Scope of Work:
  • The Enterprise Workforce Management Program will be implemented in multiple phases with the goal of a full statewide implementation. The state has contracted to use the services of Kronos to install and serve as the implementation partner for a suite of products to deliver the following scope:
  • Kronos Workforce Scheduler and Telestaff Bundle – The creation and management of employee work schedules across multiple shifts.
  • Kronos Workforce Activities and Attestation Took Kit – The collection of employee hours worked (regular/overtime/compensatory) for the purpose of creating a timesheet for review and approval for payroll processing.
  • Kronos Workforce Absence Manager – The creation and management of employee requests for time out of the office for review and approval by a state supervisor or manager.
  • Workforce Absence Management – The notification and processing (timekeeping and scheduling) of state and federal family medical leave requests.
  • Kronos Workforce Analytics – The data collection of the workforce solution set for the purpose of reporting and reviewing trends to properly assess, and drive management decisions related to staffing needs and resource management.
  • Phase 1 Scope – The objective of this phase is develop a repeatable statewide process design and implement four state agencies.
  • Phase 2 Scope – Upon successful completion of phase 1 a statewide implementation plan will be developed for the remaining state agencies with iterative deployments.
  • Training Specialist is a critical component to driving success for this engagement. The Training Specialist is primarily responsible for leading OCM activities within all Agencies in support of this state-wide program. Training Specialist provides change management expertise to formulate strategy and support complex communications, training, and Agency readiness activities for this state-wide initiative.
Job Description:
  • The Training Specialist will work closely with the Department of Administrative Services Central Project Team, the Kronos Organizational Change Management Team, and the Agency Leads. This individual performs stakeholder identification, user impact analysis, and detailed communications, training and department readiness plans for the project. The OCM Manager and Training Specialist understands institutional needs, the impact of this project and coordinates resources to deliver effective communication, training, organizational design and user support plans.
Working under the direction of the Central Project Business Lead, the OCM Manager and Training Specialist will be responsible for the following activities:
  • Collaborate with the Kronos OCM Team and Agency Lead(s) to ensure the change initiatives help to further organizational objectives and are in the interest of the State
  • Work in partnership with the Kronos OCM Team and Agency Lead(s) to create conditions for a smooth transition, lessening resistance from the Agency community, and maximizing enthusiasm to adapt changes
  • Partner closely with the Kronos OCM team in the development of training materials and the training delivery strategy; guaranteeing appropriate trainings are conducted per user group
  • Use of critical judgment to interpret and apply rules and regulations, as well as State policies
  • Coordinate with the Kronos OCM Team to design and develop communication plans/deliverables ensuring messaging and execution are consistent with the State's vision and principles
  • Drive profitable change through end user adoption of common business practices and processes
  • Identify leadership and user alignment gaps, potential risks and issues and effectively preparing the organization to mitigate risks
Required Skills/Experience:
  • 5+ years of extensive knowledge and experiencing training on the following Kronos solutions:
  • Kronos WFC Timekeeper
  • Kronos WFC Calculated Accruals
  • Kronos WFC Advanced Scheduler
  • Kronos InTouch Time Collection Device
  • Kronos WFC Absence and Leave Manager
  • Kronos Analytics
  • Experience implementing large scale deployments with Scheduling and Time and Attendance solutions
  • Formulates training outlines and determines instructional methods, utilizing knowledge of specified training needs and effectiveness of such methods as individual training, group instruction, demonstrations, conferences, meetings, and workshops
  • Coordinates or performs administrative functions necessary to deliver and document training programs
  • 3+ years of experience and knowledge of change management principles, methodologies, and tools with the ability to flex within an approach
  • 3+ years of professional experience producing organization wide communications and developing change strategies
  • Evaluates effectiveness of training and development program and utilizes relevant evaluation data to revise or recommend changes in instructional objectives and method
  • Excellent analytical, problem solving, negotiating, influencing, facilitation, prioritization, decision-making and conflict resolution skills
  • Strong communications skills – verbal, written and presentation
  • People skills, especially diplomacy and advocacy skills
  • Planning and management skills
  • Previous experience working with remote teams
  • Performs miscellaneous job-related duties as assigned
