Job Description:
We are looking for an Administrative Assistant that has the capability to become the CEO's Executive Assistant if our business needs dictate.
This person would also work alongside the Executive Development Coordinator.
This person must have Intermediate level PowerPoint and Excel skills with Excellent Word and Outlook skills.
This person should be a self-starter with the ability to work in an independent fashion.
The CEO and Exec. Dev. Coord. have extensive travel planned during this assignment time so this person needs to be very professional and discreet as they will be representing us during this assignment.
Specific Responsibilities:
1. 25% Types drafts, assimilates and distributes correspondence for President and Senior Managers.
2. 15% Assists the CEO in managing his email and phone communications.
3. 15% Maintains pending item lists for all Management Team members and assures adherence to timeframes.
4. 10% Schedules conference rooms for Board Meetings and Staff Meetings.
5. 10% Organize, assemble and distribute correspondence for Management and the Board including the monthly Board Package.
6. 10% Handles all reservations/registrations for staff and officials as well as making travel arrangements and scheduling executive appointments.
7. 5% Maintains corporate files and proper filing of all correspondence.
8. 5% Must comply with all company policies and procedures, applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.
