Associate Contract Analyst

Project Overview:
  • This role will support the company's Contract Management department.
  • The Contract Analyst will develop and process SAP purchase requisitions in support of the business unit's needs.
  • The individual will support the process for improvement efforts to digitization, reduce hard copy documentation and improve the efficiency of document retrieval that aligns with company's sustainability goals.
  • The analyst will also update and maintain the contractor database to ensure it is current with contact information for future solicitations.
 
Functions and Responsibilities:
  • Tracking and updating while also ensuring their accuracy, quality, and integrity.
  • Assist in project completion to ensure project teams submit all required documentation.
  • Track and monitor energy services firms ability to achieve M/WBE goals.
  • Support senior staff in the development of schedules and track deliverables of new Request For Proposals (RFP) in support of the energy efficiency programs.
  • RFP's, including auditing, engineering, design, construction management, program evaluation, and turn key implementation services.
  • Ensure the contractor posts M/WBE utilization plan on company's website within 10 days of general contractor contract award.
  • Ensure contractor(s) confirm that the proposed firms are registered as M/WBE.
  • Ensure the contractor(s) check NYS Debarred list to ensure proposed firms are NOT listed.
  • Maintain contractual records and documentation such as change orders, task order releases, contract award recommendation memorandums, and trustee items.
  • Development of Monthly Contract Expenditures Reports using complex interfaces from various software applications.
  • Track and Maintain Implementation Contractors most up to date Insurance Certificates.
  • Track and Coordinate Open Procurement Transactions with Stakeholders
 
Required Skills:
  • Specific knowledge in Microsoft Suite (Word, Excel, Access) and SAP.
  • Knowledge of a variety of different document types and formats, including Engineering reports and legal documents.
  • Ability to successfully prioritize work on multiple tasks.
  • Good organizational skills with an attention to detail.
  • Ability to work with limited supervision.
  • Ability to use sound judgment.
  • Ability to establish effective relationships with team members.
  • Exceptional customer service and strong interpersonal skills are required.
  • Effective written and oral communication skills.
 
Communications (Written & Oral):
  • Incumbent must have good written and verbal communication skills.
  • Incumbent must possess be able to organize information and effectively present ideas to the intended audience.
  • Incumbent must be able to receive verbal direction and follow-up for/with supervisor.
  • Incumbent must communicate and work effectively with contractors and consultants.
  • Incumbent must have good writing skills and be able to prepare rather complex reports and equipment reviews suitable for final submission.
 
Education and Certifications:
  • Bachelor's degree is required.
  • Minimum of 3+ plus years of utility experience.
  • Knowledge of financial management procedures and principles.
  • Personal computing skills, including familiarity with spreadsheets, word processors, databases, and project management software.
 
Work Schedule:
  • Monday through Friday.
  • Paid for time worked only; there are no paid holidays, vacation or sick days.
  • Overtime is not permitted unless authorized in advanced.
  • Contractor is required to badge in and out of the card reader located on turnstile in the lobby for all daily entrances and exits.
