Job Summary:
Act as the initial contact for internal and external customers. Provides general support to the Human Resources department functions. Functions as a first point of contact for all Human Resources customers. Answer phone, respond to and/or direct issues, as appropriate. Checking in candidates for interviews, then paging or tracking down the leader. Assisting with new hire paperwork completion. Assisting with new hire paperwork data entry – includes data entry of E-Verify and W-4s. Helping candidates complete an on-line application. Assisting with orientation preparations. Helping to prepare new hire personnel files. Reports to HR Manager. Other duties as assigned.

Job Description:
Responds to all customer requests, assist external customers, applicants, new hires, current staff members and leadership while demonstrating excellent customer service. Maintains a confidential environment. Maintains knowledge of human resources policies and procedures, benefits, and performance management in order to provide accurate information whenever possible. Identifies and refers concerns to the appropriate HR Representatives. Maintains HR Front Desk Resource Manual with current information.

Provide guidance and support to employment candidates for access to the electronic employment application process.

Register employment candidates for scheduled interviews and coordinate all interviewing paperwork. Monitor and update schedule for candidate's appointments with hiring leaders on the Froedtert campus.

Performs data entry into the HRIS systems with the highest level of accuracy. Maintain knowledge of information technology to assist with workflow, enhance communication and accurate reporting of information.

Coordinate and assist new staff members and internal transfers with completion of pre-employment paperwork and requirements prior to start or transfer date. Maintains information for new staff ID badge request and communicates id badge information to the Security Department. Collect and review for completeness all benefits paperwork from new and/or current staff members, forwarding documentation to the Benefits Department. Assists with new hire paperwork data entry, including data entry of E-Verify and W-4s.

Distribute and organize mail/correspondence for the Human Resources Department per department standards. Flagging priorities and routing urgent issues to appropriate, available staff.

Coordinate and manage all Direct Deposit documentation with the highest level of accuracy. Maintain tracking of all completed direct deposit forms prior to sending to the Payroll Department at Woodland Prime in secured transport bag.

Process Background Information Disclosure Form (HFS-64) for Volunteer Services. Background check information sent to Manager of Volunteer Services for review and retention in Volunteer Department files.
Process internal and external Employment Verification requests in a timely manner. Forwards Employment Verification request that require salary information to the Payroll Department for completion.

Monitors and orders department office supplies on a weekly basis. Maintains adequate supply of appropriate forms for the Human Resources Department. Documents and coordinates maintenance request for office equipment. Facilitate parking pass distribution for over-sized vehicles parking in valet parking lot.
