Senior Records Information Analyst

Project Overview:
  • This role will support the client's Digital Warehouse department.
  • The Digital Warehouse is looking for an experienced analyst to support their records and information management initiatives.
  • This individual will support the transition of structure by integrating records and content into a knowledge management system.
Functions and Responsibilities:
  • Implement a Record Management process within the organization that supports client's standards and best practices of Records and content management. (Review current record management policies and procedures) for additional requirements.
  • Create a Retention schedule that supports processes and does not conflict with client shared services.
  • Identify all digital records/documents to be migrated from shared drives into Content Server.
  • Develop a systematic analysis and plan to migrate.
  • Implement a plan to analyze, index and load Records into Content Server for easier searching and retrieval.
  • Develop digitization plan first by analyzing potential records and documents for digitization. Then by process improvement for capturing records electronically where they were formally hard copy.
  • Implement an all-inclusive plan to do a physical walk down and validation of all records and documents that need to be migrated or converted or that are candidates for destruction (filing cabinets, storage areas, etc.).
  • Determine how drawings and plans will be managed and potentially incorporated into engineering and records management systems/applications.
  • Develop policies and procedures for client employees to follow that are in synch with client.
  • Support a training program for records and content management for employees.
  • Assist with any resources needed to support technical work such as purchased standards and databases
  • Clear understanding of what records/documents need to be kept, destroyed or archived
  • Implementation of client Record Management policies and procedures.
  • Deliver electronic, searchable documents for future use and insure historical documents are archived (NYS).
  • Work with management to further understand roles needed for records management
  • Insure drawings are available as needed for both operations and engineering
  • Proven leadership skills
  • Excellent written and oral communication skills
  • Project management skills and or certification
  • Experience creating audit and compliance reviews
  • Experience in the engineering/utilities, field ability to work in a highly regulated environment
  • Exceptional customer service and strong interpersonal skills are required
  • Microsoft Office/Outlook skills, knowledge of Access, and strong Excel skills
  • Ability to establish effective relationships with team members
Education and Certifications:
  • BA required, MLS preferred
  • Experience with an Enterprise Content Management System/Records Management System; proficient with Open Text Content Server and advanced SharePoint knowledge
  • 3-5 years of Knowledge Management experience
  • Minimum of 8 years of Records Management experience
  • Understanding of the Laws and Regulations of New York State
  • Ability to travel with in NYS.
