Project Administrator

Qualifications:
1. High School Diploma or some college or secretarial education required 2. The successful candidate will have supported executive level positions in the past and have at least 3 years of experience supporting senior business leaders 3. Individual must be highly motivated and organized and willing to accept additional responsibility as required by the position 4. Organized, self-starter who can work independently 5. Excellent follow through skills 6. Team player with excellent communications skills (written and verbal, proofreading skills) 7. Excellent computer skills. Experienced in compiling presentations. Spreadsheet and/or financial analysis skills preferred. Experience with Word processing, PowerPoint and Microsoft Outlook and Microsoft Office skills are essential. 8. Ability to maintain confidentiality in dealing with all work which may include personnel issues, patented ideas/inventions and proprietary information 9. Managing multiple priorities and demonstrating independent thinking 10. Demonstrated ability to make independent decisions, detail oriented, and effective oral and written communication and interpersonal skills. 11. Effective analytical and problem solving skills.

Responsibilities:
1. Purchasing support Responsible for managing R&D Client and site specific purchase order requests in SAP as well resolving purchase order and invoice issues. Works with appropriate departments and vendors to resolve issues. 2. Handle one off department purchasing requests via PCard; reallocates charges to appropriate cost center/project/G/L, and submits/files receipts to ensure compliance with company policies 3. Assist with preparation of CDAs and Consulting Agreements 4. Initiate and follow up on new vendor requests 5. KOL payments – process payment request, track payment 6. Expense Tracking 7. Support maintenance of project budget tracker with input from budget owners 8. Manage monthly accruals and reversals with assistance from budget owners and Finance department 9. Monitor large invoices, work with budget owners to approve payment, ensure alignment with budget tracker 10. Administer monthly budget check-in meeting. Review discretionary spending report to ensure alignment with budget tracker. 11. Provide end of month update to Platform R&D Director and budget owners for monthly spend-vs-projection 12. Heavy email and phone interaction with Client Medical - Diabetes Care' associates and external customers/vendors Site Administration: 13. Works with a team on special, non-recurring and ongoing projects and events. Coordinate audio visual; identify, negotiate and coordinate space; set up & breakdown; food & beverage/ catering; content coordination, etc. 14. Complete projects and presentations using (PowerPoint, Word and Excel). 15. Update Client One Andover, provide content 16. Responsible for maintaining break room equipment and consumables 17. Responsible for maintaining office equipment and consumables 18. Responsible for maintaining and ordering office supplies 19. Maintain office filing system and establishes new files as required (paper and electronic formats) 20. Work with, and support other senior administrative assistants to the group or Client Medical when necessary 21. Collects and distributes mail daily 22. Maintains conference rooms (keeps them stocked and orderly. 23. Manage travel arrangements, domestic and international, including flights, hotel, and ground transportation 24. Calendar management (meetings, conference rooms, catering, etc) 25. Process expense reports Minimum five years proven administrative secretarial experience required.
