Administrative Assistant

Project Overview:
  • This role will support the client's Information Technology department and its daily administrative duties and functions for the office.
  • The successful candidate will perform a wide range of administrative and general duties of a highly responsible and fast moving environment.

Functions and Responsibilities:
  • Assist in the administration of IT initiatives for the department; ensure timelines, communications and documentation is coordinated and complete.
  • Provide backup to the department Sr. Project Coordinator.
  • Organize and schedule appointments for IT Directors; manage conference and training room calendars.
  • Assist in the preparation of regularly scheduled reports
  • Book travel arrangements including car and company airplane reservations.
  • Answer and direct phone calls.
  • Coordinate department(s) procurement requests including approvals, follow-up with SSM and producing weekly progress reports.
  • Coordinate orders for business meeting meals
  • Maintain the department seating chart and assist with space planning
  • Process on-boarding and off-boarding of contractors and consultants
  • Other clerical support as needed.

  • Proficiency in Microsoft Office (Outlook, Excel, and PowerPoint in particular)
  • Familiarity with SAP
  • Ability to recognize and protect confidential information
  • Strong organizational skills with the ability to multi-task.
  • Strong awareness of deadlines, time management skills, and ability to follow up on assigned tasks
  • Strong written and oral communication skill.

Education and Certifications:
  • Minimum of 5 years of secretarial experience in progressively demanding environment
  • High School Diploma or equivalency, two year degree preferred.
