ADMINISTRATIVE ASSISTANT
The Administrative Assistant provides advanced administrative support to a Director or Vice President, requiring broad experience, strong administrative support skills and thorough knowledge of a variety of software programs and organization policies and practices. The successful candidate will show initiative, use good judgement, and exhibit a professional presence while consistently multitasking and prioritizing. The Administrative Assistant performs a variety of duties to assist leadership in making each department function successfully. • Calendar management - maintain schedules and workflow, make appointments and travel arrangements • Communication delivery - receive and screen visitors and calls; handle general inquiries and information requests; read/route incoming mail; may compose moderate to complex correspondence, standard and ad hoc reports, presentations materials, etc. • Meeting support – assist in coordinating and scheduling meetings, preparing agendas, reserving facilities, catering; may take minutes as needed • Document management - paper and electronic; organize and retrieve information in a timely manner; may collect and analyze data for reports; maintain office files and records • Technology application – use PC and multiple software packages for moderately complex support functions • Service delivery - act with customers in mind and be responsive to peers, executives, and business partners; balance autonomy with teamwork • General office support - day-to-day administration or coordination of programs and processes specific to the operating unit; may maintain and process time sheets/payroll, facilitate expense reimbursements, order and track inventory and expenses for office supplies and equipment • Project support - assist in projects of a small to moderate nature and scope, which may include budget preparation, surveys, quality improvement, Joint Commission Accreditation, physician credentialing duties, etc. • Confidentiality and discretion - gain trust and respect by ensuring privacy and security of information; adhere to all information, privacy and security policies, procedures, standards and guidelines; may work with highly complex and confidential documents and reports • Other duties and responsibilities as assigned MIMINMUM QUALIFICATIONS: Education, Credentials, Licenses: High School diploma required, with some post high school education with emphasis on secretarial, computer and business skills preferred
