Primary Function: Under general supervision and acting on own initiative and direction, provides moderately complex clerical, secretarial and administrative support. Typically supports one or more managers and/or employees in a department or administrative unit, or may support multiple departments. May provide guidance or work leadership to lower level administrative employees.
Major Responsibilities:
1. Researches and obtains information for routine and moderately complex reports and special assignments.
2. Analyzes problems, determines approach, compiles and analyzes data, and prepares reports/recommendations for action by superior.
3. Contacts company personnel at all organizational levels and outside parties to gather information and prepare reports.
4. May act as coordinator of departmental projects, following up on pending details, coordinating project team activities and ensuring deadlines are met.
5. Work is generally of a critical or confidential nature and requires a broad knowledge of departmental and company practices, policies and programs.
6. Makes appointments, travel arrangements, meeting arrangements and coordinates activities between departments and outside parties.
7. Answers telephones, screens calls and forwards messages.
8. Answers routine correspondence and routes mail to the appropriate persons.
9. Composes, prepares, edits and proofreads letters, reports and other correspondence. 10. Orders and maintains supplies and ensures office equipment is functioning.
11. Typically uses software packages for word processing, spreadsheets, databases, graphics and desktop publishing applications
12. Operates general office equipment such as personal computer, copier, calculator, fax or other office machines.
13. Must be able and willing to work 15-30 hous per week, flexibitlity with days and hours.
Accountability: Position Requirements:
High School Diploma. 2-4 years exp. Good oral and written communications skills equivalent to those obtained in high school or commensurate experience. Typically requires advanced word-processing and other personal computer skills. Extensive working knowledge of departmental and company policies, procedures and practices. Ability to prioritize and organize work. Self initiative and ability to work independently. Requires a working knowledge of commonly used PC applications such as word processing, spreadsheets and databases. Depending on area of support, may be required to obtain and maintain a government security clearance.
