Education Two year college degree or equivalent 4yr. College degree or equivalent
Experience 5 years in multi-discipline administrative management capacity, project management, or equivalent 7 years in administrative or project management capacity or equivalent
Knowledge Microsoft office suite, PC/Mac, Adobe Acrobat Dropbox, Open Air, Sales Force
Skills Self-starter, phone etiquette, triage/prioritize competing high priority requests, maintain composure under stressful circumstances, strong problem solving abilities, organized and able to manage time effectively Experience obtaining LOIs, visas, and other artifacts necessary for global travel and deployment in the oil & gas industry.

Responsibilities
Technical Essential Create and maintain advanced Microsoft Office documents (Word, Excel, Power Point) that include advanced features such as tables, headers, footers, automatic page numbers, multiple columns, graphics, font formats, styles, mail merge, table of contents, numbered figures and headings, etc.
Compliance Essential Adhere to our group and Customer methods and processes to meet HSE, Quality and Customer Satisfaction needs as required for project related activities.
Administrative Delivery Services Logistics Management
  • Primary point of contact for all Subcontractors.
  • Maintain Resource Guru schedule
  • Liaise with corporate quality function to support quality assurance function for delivery.
  • Provide assistance to deployed AG consultants when needed to coordinate flight, hotel and ground transportation arrangements with customers and/or travel agent.
  • Provide assistance to AG consultants consistent with and as defined in our Emergency Procedures to assist consultants 24/7.
  • Ensure that AG consultants are provided with the required information regarding visas, inoculations, passports and medical exams required to work in a given country and with service provider options for obtaining visas, passports and medical exams that have been certified by the company. Monitor and confirm completion of such visa, passport and medical exam processes by AG consultants.
  • Facilitate any other services required by our consultants to mobilize or demobilize safely and efficiently to perform billable work.
  • Interact with Accounting & HR as needed for hotel prepayments & expense advances.
  • Monitor and facilitate consultant AQGMS on-boarding, training, certification, and testing as defined in the recruiting and onboarding process flowchart.
  • Facilitate required and approved access to project data repositories as defined by our data storage policies.
  • Track consultant AGQMS training, OGUK medicals and survival certifications, such as BOSIET, HUET, FOET, etc.
  • Manage and track consultant CVs by assuring they are kept up-to-date and provided to the sales team in response to RFP's and Tenders.
  • Manage PPE inventory.
  • Fill standby time with productive tasks that benefit the customer and / or company.
  • Answer phones
